Setup, Delivery & Pickup Policy

This Setup, Delivery & Pickup Policy explains how delivery, setup, takedown, pickup, access, site preparation, and customer responsibilities are handled for rentals and services provided by Backyard Starz, LLC (“Backyard Starz,” “Starz,” “we,” “us,” or “our”).

By booking a rental, submitting payment, signing a booking agreement, checking an acceptance box, accepting delivery, allowing setup, taking possession of equipment, or using our equipment or services, you agree to this Setup, Delivery & Pickup Policy.

1. Delivery Area

Backyard Starz provides delivery and setup service in the Austin, Texas area and surrounding communities, subject to availability.

Unless otherwise stated in your booking confirmation or invoice, delivery may be included within a 10-mile radius of the 78732 zip code.

Delivery outside our standard service area may be available for an additional fee. Additional delivery fees may be based on mileage, location, package selected, event date, travel time, parking conditions, access requirements, or other logistical factors.

2. Delivery and Setup Window

Backyard Starz will provide an estimated delivery or setup window before your event.

For packages that include setup and takedown service, Backyard Starz generally begins setup approximately two hours before sunset, unless otherwise agreed in writing.

Setup times may vary based on weather, traffic, event location, package size, access conditions, and scheduling.

Customer or an authorized adult must be available during the delivery/setup window unless Backyard Starz has approved unattended delivery or setup in writing.

3. Rental Period

For events that include setup and takedown services, the standard rental period generally begins at sunset and lasts for the rental duration stated in your package, booking confirmation, invoice, or written agreement.

Outdoor movie screenings are recommended after dark for the best viewing experience. Backyard Starz cannot guarantee satisfactory image quality if a movie or video is started before dusk or in bright lighting conditions.

If the event extends beyond the agreed rental period, additional fees may apply. Unless otherwise stated in writing, extended rental time may be charged at $75 per additional hour, subject to Backyard Starz availability.

4. Early Setup

Early setup may be available for an additional fee, subject to availability and written approval by Backyard Starz.

Early setup is not guaranteed unless confirmed in writing.

Backyard Starz may decline early setup if weather, scheduling, access, equipment availability, or site conditions make early setup impractical or unsafe.

5. Site Preparation

Customer is responsible for ensuring that the setup area is ready before the scheduled delivery or setup time.

The setup area must be:

  • Clean;
  • Dry;
  • Reasonably flat;
  • Accessible;
  • Clear of personal items, furniture, toys, debris, pet waste, trash, yard tools, and other obstructions;
  • Free of standing water, mud, fire ants, sharp objects, glass, rocks, thorns, rough surfaces, and other hazards;
  • Safe for Backyard Starz personnel, guests, children, and equipment.

Customer is also responsible for clearing personal items from tables, chairs, equipment, and the setup area before the scheduled takedown or pickup time.

6. Delay or Additional Labor Fees

If Backyard Starz is delayed or required to perform additional labor because the setup area is not prepared, access is unavailable, or customer-provided information is incomplete or incorrect, additional fees may apply.

Unless otherwise stated in writing, delay time or additional labor may be charged at $50 per hour.

Examples of situations that may result in additional fees include:

  • Setup area is not cleared;
  • Customer is unavailable when required;
  • Gate codes, access instructions, or parking instructions are missing or incorrect;
  • Pets must be secured before setup can begin;
  • Backyard Starz personnel must move personal items, furniture, toys, or debris;
  • Setup location is changed after arrival;
  • Equipment must be carried an unusually long distance;
  • Stairs, elevators, parking issues, or venue restrictions cause delays;
  • The site is unsafe, wet, muddy, obstructed, or otherwise not ready.

7. Setup Location

Customer is responsible for selecting the desired setup location.

Backyard Starz may refuse setup, require an alternate location, or modify the setup if the requested area is unsafe, unsuitable, inaccessible, too small, too sloped, wet, muddy, obstructed, or likely to damage equipment or property.

Backyard Starz does not warrant that the ground, surface, or area selected by Customer is fit or proper for setup or use of the equipment.

8. Grass, Turf, Concrete, and Other Surfaces

Backyard Starz equipment is generally easiest and safest to set up on a clean, dry, reasonably flat grass surface.

For non-grass surfaces, including turf, concrete, pavement, patios, driveways, decks, or other hard surfaces, additional anchoring or weighted support may be required.

Unless included in your specific package or confirmed in writing, weighted items may not be included.

For certain non-grass setups, Customer may be responsible for providing four weighted items, each at least 50 pounds, or renting appropriate weighted items from Backyard Starz for an additional charge.

Backyard Starz may refuse setup if the surface or anchoring method is unsafe or unsuitable.

9. Electrical Requirements

Customer is responsible for providing safe and functioning electrical power.

Unless otherwise agreed in writing:

  1. Equipment requires one electrical outlet within 50 feet of the screen location.
  2. The outlet should be 115 volts with 20-amp capacity.
  3. The equipment should be the only equipment operating on that electrical circuit.
  4. Backyard Starz may provide electrical cords up to 50 feet.
  5. For distances greater than 50 feet, Customer may be required to provide a 12-gauge extension cord up to 100 feet.
  6. Backyard Starz will not set up equipment more than 200 feet from a power source.
  7. Backyard Starz does not provide a generator.
  8. If Customer provides a generator, Backyard Starz is not responsible if the generator does not properly power the equipment.

Customer is responsible for power interruptions, tripped breakers, faulty outlets, inadequate circuits, generator issues, unsafe electrical conditions, or customer-provided electrical equipment.

10. Sprinklers, Water, and Wet Conditions

Customer must turn off all sprinklers before and during the event.

Backyard Starz equipment must not be exposed to sprinklers, irrigation systems, hoses, pools, water features, rain, mud, standing water, or wet ground.

Backyard Starz may refuse setup or require an alternate setup location if the area is wet, muddy, saturated, or unsafe.

Customer may be responsible for damage caused by sprinklers, water exposure, wet ground, mud, rain, or failure to protect equipment from water.

11. Fire, Cooking, and Open Flame

Customer agrees not to allow cooking, fire, smoking, grills, fire pits, candles, fireworks, heaters, open flames, or combustible materials under or within 10 feet of inflatable screens, inflatable chairs, or related equipment.

Customer is responsible for any damage, injury, or loss caused by fire, smoke, heat, burns, fireworks, grills, cooking, smoking, combustible materials, or related hazards.

12. Parks, Venues, HOAs, Apartments, and Public Spaces

Customer is solely responsible for obtaining all required permissions, approvals, permits, reservations, and access rights for the event location.

This may include approval from:

  • Property owners;
  • Apartment communities;
  • HOAs;
  • Parks departments;
  • Schools;
  • Churches;
  • Event venues;
  • Municipalities;
  • Commercial property managers;
  • Neighborhood associations.

Backyard Starz is not responsible for denied access, event shutdowns, permit issues, venue restrictions, HOA restrictions, park rules, security issues, noise complaints, parking limitations, or rule violations.

If Backyard Starz cannot complete delivery or setup because required permission or access was not obtained, the booking may be treated as a same-day cancellation, and payments may be non-refundable.

13. Customer-Provided Media and Devices

Unless expressly agreed in writing, Backyard Starz does not provide movies, DVDs, streaming accounts, laptops, video game consoles, cable boxes, internet service, or public performance licenses.

Customer is responsible for providing the movie, streaming device, media source, login credentials, internet connection, and any necessary adapters unless Backyard Starz has confirmed otherwise in writing.

For the best viewing experience, Backyard Starz recommends using a DVD or another directly compatible media source when possible.

Backyard Starz is not responsible for streaming interruptions, Wi-Fi issues, app login problems, device compatibility issues, unavailable content, account restrictions, copyright licensing issues, or customer-provided equipment problems.

14. Setup & Takedown Service

For packages that include setup and takedown, Backyard Starz will set up the primary rental equipment and return for takedown at the agreed time or within the agreed pickup window.

After setup is complete, Customer may not move, alter, relocate, disassemble, unplug, or tamper with equipment unless Backyard Starz gives permission or instructions.

Customer is responsible for supervising guests and protecting equipment during the rental period.

15. DIY / Drop-Off Package Responsibilities

For DIY or drop-off rentals, Customer is responsible for setup, operation, takedown, repacking, storage, protection, and making all equipment ready for pickup or return.

Customer agrees to:

  1. Follow all instructions provided by Backyard Starz;
  2. Store equipment in a protective area and keep it out of the elements;
  3. Keep equipment clean, dry, complete, and protected from damage;
  4. Have all equipment packed, organized, and ready for pickup at the scheduled time;
  5. Contact Backyard Starz with any questions before using equipment incorrectly.

If equipment is not ready for pickup and Backyard Starz personnel must gather, organize, package, repack, or clean up equipment, a $75 fee may apply.

Additional fees may apply if equipment is wet, dirty, damaged, missing, improperly packed, inaccessible, or not ready at the scheduled pickup time.

16. Pickup and Access

Customer must ensure that all rental equipment is accessible and ready for pickup at the scheduled time or during the agreed pickup window.

Equipment must not be:

  • Locked behind gates;
  • Left in unsafe areas;
  • Exposed to rain, sprinklers, mud, pets, or theft;
  • Blocked by vehicles, furniture, guests, or property restrictions;
  • Packed incorrectly;
  • Mixed with customer-owned items;
  • Left unattended in a way that creates a risk of loss or damage.

If Backyard Starz is unable to retrieve equipment because of customer delay, lack of access, unsafe conditions, or incorrect information, additional fees may apply.

17. Weather and Unsafe Conditions

Backyard Starz may cancel, delay, modify, or reschedule delivery, setup, takedown, or pickup if weather or site conditions create a safety risk or equipment risk.

This may include rain, lightning, thunderstorms, high winds, wind gusts, wet ground, mud, standing water, unsafe electrical conditions, or other hazardous conditions.

Weather-related cancellations and rescheduling are governed by Backyard Starz’s separate Weather Policy and Cancellation & Rescheduling Policy.

18. Right to Refuse Setup or Service

Backyard Starz reserves the right to refuse, delay, modify, cancel, or stop setup or service if we determine that:

  1. The location is unsafe, inaccessible, or unsuitable;
  2. The setup area is not prepared;
  3. Required power is unavailable or unsafe;
  4. Weather conditions create a safety or equipment risk;
  5. The surface or anchoring method is unsuitable;
  6. Required permissions, approvals, or permits were not obtained;
  7. Customer or guests are misusing equipment;
  8. Customer or guest conduct is unsafe, aggressive, intoxicated, threatening, or inappropriate;
  9. Required payment has not been made;
  10. Continuing service would create an unreasonable risk of injury, property damage, equipment damage, or legal violation.

19. Relationship to Other Policies

This Setup, Delivery & Pickup Policy should be read together with Backyard Starz’s:

  • Rental Agreement / Terms of Service;
  • Payment Policy;
  • Cancellation & Rescheduling Policy;
  • Weather Policy;
  • Damage, Cleaning & Missing Equipment Policy;
  • Equipment Safety Rules;
  • Electrical, Power & Generator Policy;
  • Waiver & Liability Release.

If there is a conflict between this policy and a signed booking agreement, invoice, or event-specific written agreement, the event-specific written agreement will control for that event, unless prohibited by law.

20. Customer Acknowledgment

By booking a rental, submitting payment, signing a booking agreement, checking an acceptance box, accepting delivery, allowing setup, taking possession of equipment, or using Backyard Starz equipment or services, you acknowledge that you have read, understand, and agree to this Setup, Delivery & Pickup Policy.
