Cancellation & Rescheduling Policy

This Cancellation & Rescheduling Policy explains how cancellations, refunds, deposits, rescheduling requests, no-shows, access issues, and weather-related changes are handled for rentals and services provided by Backyard Starz, LLC (“Backyard Starz,” “Starz,” “we,” “us,” or “our”).

By booking a rental, submitting payment, signing a booking agreement, checking an acceptance box, accepting delivery, allowing setup, taking possession of equipment, or using our services, you agree to this Cancellation & Rescheduling Policy.

1. Why We Have This Policy

When you book with Backyard Starz, we reserve equipment, staff time, delivery availability, and your event date. Because we may turn away other customers once your date is reserved, cancellations and rescheduling requests are subject to the terms below.

2. Standard Cancellation Policy

Unless otherwise stated in your booking confirmation, invoice, or written agreement:

  • Cancellations made 21 business days or more before the scheduled event date may be eligible for a full refund of the deposit.
  • Cancellations made less than 21 business days before the scheduled event date may result in loss of the deposit.
  • Cancellations made on the day of the event may be non-refundable, except where Backyard Starz determines that the event cannot safely proceed due to weather or unsafe conditions under the Weather Policy.

Any refund eligibility may be reduced by payment processing fees, special-order items, third-party costs, custom expenses, or other costs already incurred by Backyard Starz for your event.

3. Deposit Refunds

Deposits are used to reserve your date and equipment.

If your cancellation qualifies for a refund, Backyard Starz will refund the eligible deposit amount using the original payment method or another mutually agreed payment method.

If your cancellation does not qualify for a refund, Backyard Starz may retain the deposit as a cancellation fee.

4. Balance Payments

If you paid more than the required deposit before cancellation, Backyard Starz may refund the portion of your payment above the deposit, unless that amount is needed to cover costs already incurred, services already performed, custom requests, delivery attempts, equipment preparation, or other amounts owed under our policies.

5. Rescheduling Requests

We understand that plans change, and we will make reasonable efforts to accommodate rescheduling requests.

Rescheduling is subject to:

  • Equipment availability;
  • Staff availability;
  • Delivery availability;
  • Event location;
  • Package selected;
  • Weather conditions;
  • Peak dates, holidays, and high-demand weekends.

A rescheduled event is not confirmed until Backyard Starz confirms the new date in writing.

6. Rescheduling More Than 21 Business Days Before the Event

If you request to reschedule 21 business days or more before your event, Backyard Starz will generally apply your deposit to a new available date, subject to availability.

If no mutually acceptable date is available, you may be eligible for a deposit refund under the standard cancellation policy.

7. Rescheduling Less Than 21 Business Days Before the Event

If you request to reschedule less than 21 business days before your event, Backyard Starz may, at its discretion, allow your deposit to be applied to a new available date.

However, because your original date was reserved and may not be rebookable, Backyard Starz is not required to provide a refund or rescheduling credit for late rescheduling requests, except as provided under the Weather Policy.

8. Weather-Related Rescheduling and Rain-Outs

Weather-related cancellations and rescheduling are handled under Backyard Starz’s separate Weather Policy.

In general, Backyard Starz does not set up in active rain and may cancel, delay, modify, or reschedule an event due to rain, high winds, lightning, thunderstorms, unsafe ground conditions, unsafe electrical conditions, or other hazardous conditions.

If your event is considered a weather-related rain-out before setup, Backyard Starz may offer to reschedule your event for an available date or refund your deposit, consistent with the Weather Policy.

Weather-related decisions are generally made within 12 hours of the scheduled event or setup time, depending on forecast conditions, radar, site conditions, safety concerns, and equipment risk.

9. Customer-Initiated Weather Cancellations

If you believe weather may affect your event, please contact Backyard Starz as soon as possible.

Customer-initiated weather cancellations must be coordinated with Backyard Starz. A forecast alone does not automatically qualify as a weather cancellation or refund.

If Backyard Starz determines that weather conditions make the event unsafe or unsuitable before setup, the event may be treated as a weather-related cancellation or rescheduling under the Weather Policy.

If the customer chooses to cancel for weather concerns when Backyard Starz determines that conditions are safe and serviceable, the standard cancellation policy may apply.

10. Cancellations After Setup Has Begun

Once Backyard Starz has arrived, begun setup, completed setup, delivered equipment, or released equipment to the customer, the rental may be considered fulfilled in whole or in part.

If you cancel after delivery, setup, or equipment release, payments may be non-refundable.

Additional charges may apply for delivery, setup labor, takedown, pickup, damage, cleaning, missing items, or other costs incurred.

11. No-Show, Access Issues, or Unprepared Site

If Backyard Starz arrives for delivery or setup and cannot complete service because of customer-related issues, the booking may be treated as a same-day cancellation.

This includes, but is not limited to:

  • Customer is unavailable when required;
  • Backyard Starz cannot access the property;
  • Gate codes, parking instructions, venue access, or contact information are missing or incorrect;
  • The setup area is not cleared or prepared;
  • The event location is unsafe or unsuitable;
  • Required power is unavailable;
  • Sprinklers are running or the setup area is wet;
  • Required permissions, permits, HOA approvals, or venue approvals were not obtained;
  • The customer requests setup in an area Backyard Starz determines is unsafe or unsuitable.

In these situations, payments may be non-refundable, and additional labor, delivery, delay, or cancellation fees may apply.

12. Changes to Package, Location, or Event Details

Changes to your package, location, setup surface, event time, guest count, access requirements, or add-ons may affect pricing and availability.

Backyard Starz may adjust your invoice if the requested changes require additional equipment, delivery distance, labor, weights, early setup, extended rental time, or special handling.

Changes are not confirmed until approved by Backyard Starz in writing.

13. Refund Timing

Approved refunds will generally be processed within a reasonable time after cancellation approval.

Actual timing may depend on the payment method, payment processor, bank, or platform used for the original payment.

Payment processing fees may be non-refundable.

14. Force Majeure and Events Outside Our Control

Backyard Starz is not responsible for failure or delay in performance caused by events outside our reasonable control, including but not limited to severe weather, acts of God, power outages, road closures, traffic accidents, illness, emergencies, equipment failure, labor shortages, government restrictions, unsafe site conditions, or other circumstances beyond our control.

In those situations, Backyard Starz may offer rescheduling, a credit, a partial refund, or another reasonable solution depending on the circumstances.

15. Relationship to Other Policies

This policy should be read together with Backyard Starz’s:

  • Weather Policy;
  • Payment Policy;
  • Rental Agreement / Terms of Service;
  • Setup, Delivery & Pickup Policy;
  • Damage, Cleaning & Missing Equipment Policy;
  • Waiver & Liability Release.

If there is a conflict between this policy and a signed booking agreement, invoice, or event-specific written agreement, the event-specific written agreement will control for that event, unless prohibited by law.

16. Customer Acknowledgment

By booking a rental, submitting payment, signing a booking agreement, checking an acceptance box, accepting delivery, allowing setup, taking possession of equipment, or using Backyard Starz equipment or services, you acknowledge that you have read, understand, and agree to this Cancellation & Rescheduling Policy.
